• Follow up on assignments given to management staff and provide feedback to the Managing Director or Financial Controller. • Prepare memos, letters and other documents for Managing Director& Financial Controller’s signature, as well as prepare requisitions, purchase orders, memorandums and other correspondence. • Provide high level administrative support to Directors and Senior Management by arranging their travel, transport and accommodation when in Kampala. • Coordinate and organize meetings, including notification to required attendees, set up pre and post meeting correspondences, avail meeting minutes and any required follow up. • Provide information, guidance and support to departments and departmental heads. As well as communicate to staff on various issues as directed by the Directors, Managing Director & Financial Controller. • Receive and screen communication to the Managing Director& Financial Controller including telephone calls, mail and email messages, and provide assistance using independent judgment to determine those requiring priority attention and respond to communication as appropriate. • In charge of document preparation, confidential file management, mail handling by sorting incoming mail, and manage all outgoing mails & packages. • Maintain appointment schedules and calendars provide reminders as appropriate and coordinate travel arrangements. • Initiate and respond to written and verbal correspondences, including composition, editing and distribution. • Processing and Raising expense claims for both the Managing Director& Financial Controller. • Custodian of company letters heads, supplier contract files and tenancy agreement files for management staff.
