• Perform reception roles as requested by providing customer care to patients, clients or visitors and ensure that the visitor’s register is updated. • Receive all incoming calls at the reception desk and make calls outside the hospital within a specific unit as allocated. • Organise and supervise the administration reception area by attending to visitors at any time. • Ensure that any assigned secretarial and Admin duties such as correspondence, reports, minutes, filing and laminating, scanning, binding are correctly done. • Manage, organise and update relevant data and noticeboards by putting circulars, receiving and arranging applications, letters using the available database application. • Arrange and confirm appointments of all private patients and other clients to the hospital by coordinating with the customer care officer. • Manage issuing of items to staff such as stationery in addition to monitoring and controlling it’s consumption by staff. • Participating in meetings, conferences and other project activities whenever requested to take minutes. • Support staff in different departments to type and word-process various documents and electronic information such as patient medical notes. • Generating local purchase orders (LPOs) for procurement and following up on pending procurement orders, compile statistics and reports. • Organise office stationery and office supplies such as materials and equipment (stores & inventory management) as requested. • General Admin support to the PA under the CEO’s office, customer care officer and the entire staff. • Perform any other duties as may be assigned from time to time by managers.
