Finance & Admin officer at TPO (Transcultural Psychosocial Organisation)

Responsible for providing financial, administrative and clerical services (entering M&E data) in order to ensure effective , efficient and accurate financial and administrative operations in compliance with the Generally accepted Accounting Principles and financial by-laws, policies and procedures Responsible for overseing and managing all administrative and financial functions of the Project: Financial and accounting services, financial reporting , budgets development and management , financial analysis , monitoring and utilisation of funds to ensure compliance with organizational policies and procedures as well as donar requirements Administer and monitor the financial system in order to ensure that project finances are maintained in an accurate and timely manner. Process all payments and vouchers for suppliers and staff in the appropriate time not to cause delays by matching orders, invoices and godos received notes. Support the project team in budget management and control to ensure that there are no budget overruns. Support the project team in coding of expenditure prior to effecting any payment. Advise the project team on budget balances before expenditure is incurred Share and desseminate information on budget adjustments with the project team members. Reconcile suppliers statements on monthly basis. Prepare bank reconcile bank statements. Monitor and track all cash advances and ensure the liquidity position of the office is mantained Ensure the safe custody of Money, vouchers, receipts cheques leaves on all ítems of value Support the project compliance officer in overseing and managing the subgrantees at field level. Prepare a monthly donor expenditure report for the project and prepare quarterly reports and report on variances Prepare a monthly receipts reconciliation statement and review all utilities’ expenditure (electricity, phone, wáter bills) and prepare a monthly expenditure report. Manage and control organisation’s assets, stocks and inventory, prepare and update the asset register, carryout stock taking and preparation of stock records. Oversee the maintenance of project assets and their safe custody, prepare asset usage reports of motor vehicles, motorbikes and generators. In conjuction with the logistics officer, carry out timely procurement of goods and services in accordance with the donar agreements and organisation regulation. Provide effecient and effective office management: Order office supplies and keep proper and up-to-date records, manage the filing, storage and security of documents. Respond to audit querries and follow up. Manage the repair of and maintenance of computer and office equipments Enter The M&E data on a daily basis
